    Fast Facts

    1. A case file is a heterogeneous bundle of unrelated documents, and effective retrieval focuses on the set of pieces expected, not searching individual passages.
    2. Building a list of expected pieces (documents) beforehand enables accurate completeness checks, identifying missing or misfiled items essential to case integrity.
    3. Neither document retrieval nor passage ranking can answer whether a document is missing or contradictory; these require structured comparisons and explicit role lists with conditions.
    4. The true answer is the case state: a list of present, missing, mismatched, and conflicting pieces plus a verdict—viewing the case as an integrated object rather than isolated passages.

Understanding the Difference: Folder vs. Single PDF

When handling case files, it’s important to see them as more than just a collection of documents. Unlike a single PDF, a folder contains various types of files about one case. These files differ in format, content, and purpose. For example, a fire claim might include a claim form, photos, quotes, and reports. No two files look alike. This diversity makes it harder to treat the folder like a simple document. Instead, the folder needs to be viewed as one structured object. Recognizing this helps systems better understand what’s missing or out of place. It also improves the chances of finding the right information quickly. Overall, moving from a PDF mindset to a folder mindset enhances accuracy and usefulness.

Why Our List of Expected Pieces Matters

Every case type has a standard list of needed pieces. For a property damage claim, this list might include a claim form, the adjuster’s report, repair invoices, and photos. This list isn’t made after seeing the files; it’s prepared beforehand based on the process. Such a list serves as a blueprint for what should be in the folder. It specifies how many copies are expected, when they are needed, and whether their absence blocks progress. By matching the folder’s contents against this list, systems quickly identify missing or extra files. This process helps avoid false alarms and highlights true issues. In essence, having a clear expected pieces list turns messy folders into organized case summaries.

Getting Accurate Answers with Structured Checks

Simple retrieval methods—like keyword searches—can’t answer complex case questions. For example, asking whether a second repair invoice exists isn’t a search problem; it’s a comparison. The system must check if the invoice is there, see if it matches what’s expected, and confirm details like date and amount. To do this, the folder gets parsed into relational tables, with each piece labeled and its role clarified. Then, the system compares typed values across files. When a role is missing or values contradict, it produces a detailed answer. The reply isn’t just “yes” or “no,” but an explanation about what’s incomplete or conflicting. This structured approach makes the process transparent and reliable. Although more complex to set up, it significantly improves the quality of answers about case status and progress.
